1. Who We Are

Guest Guide (“we”, “us”, “our”) is operated by Guest Guide, 9 Lansdowne Crescent, Derry Hill, Calne, SN11 9NT.

We are the data controller for personal data collected through guestguide.live (the “Service”).

2. What Personal Data We Collect

a) Account data

Email address
Password (stored as a one-way cryptographic hash — we never see your plain-text password)
Account creation date

b) Property and guide content

Property descriptions, house rules, local information, and any other content you enter when creating or editing a guest guide

c) Transactional emails

We send one-time verification codes (OTPs) and password reset emails to your registered email address

d) Usage data

Standard server logs (IP address, browser type, pages visited, timestamps) generated when you use the Service

3. How We Use Your Data and Our Legal Basis

4. AI Content Generation

When you use the AI guide-generation feature, the property description and any other content you provide is sent to Microsoft Azure OpenAI Service for processing. Microsoft processes this data as a data processor on our behalf under a Data Processing Agreement. Your data is not used to train OpenAI models. See Microsoft’s privacy documentation.

5. Data Storage and Security

Your account data and guide content are stored in Microsoft Azure Blob Storage. Microsoft is our data processor for this storage.

We apply the following security measures:

Passwords are stored using a salted one-way hash
OTP codes expire after 10 minutes and are single-use
All data in transit is encrypted using TLS
Access to stored data is controlled by Azure access keys held in server-side configuration

6. Sharing Your Data

We do not sell your personal data. We share data only with:

Microsoft Azure (cloud hosting and AI services) — as a data processor
Our transactional email provider (email delivery) — as a data processor
Law enforcement or regulatory authorities if required by law

All processors are bound by data processing agreements and provide adequate safeguards under UK GDPR.

7. Data Retention

Account data: retained for as long as your account is active, plus 6 months after deletion to allow for dispute resolution
Guide content: deleted when you delete a guide or close your account
Server logs: retained for 90 days
OTP records: deleted or marked as used immediately after verification

8. Your Rights

Under UK GDPR you have the right to:

Access the personal data we hold about you
Correct inaccurate data
Erasure (“right to be forgotten”) — request deletion of your account and associated data
Restriction of processing in certain circumstances
Data portability (receive your data in a machine-readable format)
Object to processing based on legitimate interests
Withdraw consent (where processing is consent-based)

9. Cookies

We use a session cookie to keep you signed in. This cookie is strictly necessary for the Service to function and does not track you across third-party websites. No analytics or advertising cookies are currently used.

10. Children

The Service is not directed at anyone under the age of 18. We do not knowingly collect data from minors.

11. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes by email or by displaying a notice in the Service. The “last updated” date at the top of this page indicates when changes were last made.
